VUMC Laptop Distribution FAQ

 

All VUSM/MGC students must obtain a VUMC Laptop

VUMC Laptop Distribution events are over and you will have to work directly with VUMC/NTT to obtain your laptop.  If you are currently a G-Phase or an away student, you will need to connect with them upon your return.

These laptops are required to access the VUMC network and VUMC-managed applications, including the electronic health record, eStar.  They must also be used for course and NBME exams.

Managed devices are one part of VUMC’s response to ongoing cybersecurity threats to healthcare organizations across the US and the region. VUMC’s Enterprise Technical Support vendor, NTT, will provide first line technical support for technical issues with laptops. The Education Design and Informatics (EDI) team will continue to provide support for all VUSM/MGC-specific issues, including NBME exams, end of block exams, and VSTAR-related issues.

To obtain your laptop you MUST complete these steps:

  1. Have a valid VUMC ID and password.
  2. Have VUMC MFA already setup and working.
  3. Complete the new Laptop User Agreement Attestation in RedCap and email edi.support@vanderbilt.edu when complete. See VUMC Laptop Distribution FAQ, if helpful.
  4. Have ID badge ready for identity verification when NTT contacts you.
  5. Meet with them at the agreed upon time.
  6. Be ready to spend 20-30 minutes on laptop setup.

FAQs

  • Why am I getting a VUMC laptop?

    Managed devices are one part of VUMC’s response to ongoing cybersecurity threats to healthcare organizations across the US and the region.

  • If I’m getting this laptop because of security reasons, can’t you just load security software on my personal laptop?

    VUMC is moving to a zero-trust network, which means only VUMC-managed devices will be able to connect to the VUMC network. You may potentially lose access to required VUMC apps.

  • Do I own this laptop?

    No, these laptops are property of VUMC

  • Do I have to turn this laptop back in to VUMC when I graduate?

    Yes, these laptops must be returned to VUMC. Details for this will be communicated to you closer to commencement.

  • I am an MSTP student – what should I do with this laptop when I enter the graduate phase?

    You will return your laptop to VUMC. (All students exiting the MD program for more than 90 days must return their laptop.)

  • I am an MSTP student who is about to enter the graduate phase – am I getting a laptop now?

    No, you will receive a laptop when you return to the School of Medicine.

  • How will this new policy affect students who currently have a VUMC-issued laptop (e.g., from our research labs)? Should we pick up a new laptop for clinical duties or continue to use our existing laptop?

    The research laptop you currently have is owned by that lab. You will receive a separate laptop for VUSM activities.

  • What if I can’t pick up my laptop on my assigned date?

    Please make every effort to make it to your assigned date. If you absolutely cannot make it to your assigned date, we will discuss an alternative date with the deans.

  • Can I use the VUMC laptop for classwork and not have to buy one?

    Yes, you can use this laptop as your only laptop for school and clinical needs.

  • If I have my own personal laptop, am I to bring both laptops to class?  I don’t want to have to keep up with two laptops.

    – If you are going to be working in VUMC space or accessing VUMC apps, you must use your VUMC laptop.

    – If you are taking any quiz, essay, exam, etc., you must use the VUMC laptop.

    – You can use a personal laptop for other class activities.

  • Is this VUMC laptop monitored?

    Yes, this laptop will be managed and monitored by VUMC.

  • What are the laptop specifications?
    • Dell Latitude 5400 Series, 14”, Intel i7. 16GB RAM, 256GB SSD (NVMe), WiFi & BT, 3.03 lbs, 12.65” x 8.42” x 0.75”
  • How can I print to EBL or VU Printers?
  • Will we be losing access to Haiku? If so, will we be issued VUMC phones?
    • Haiku is available on mobile devices that are fully enrolled in VUMC’s Mobile Device Management (MDM) platform.
    • There are no plans to issue VUMC Phones to students
  • Is the eStar over HTML ending as well?
    • No,  eStar remains accessible through the VDI (virtual.vumc.org)
  • Can I use the VUMC laptop for personal use like YouTube or Gmail?

    Yes, you can access YouTube from the VUMC laptop.

    You cannot access Gmail while on the VUMC network, but you can access Gmail on the VU network.

  • What if the VUMC laptop is damaged/lost/gives the Blue Screen of Death?

  • What if my laptop hangs when trying to setup initially?
    • Do a force shutdown (select Start and then select Power  > Shut down), wait a few minutes then turn it back on.
  • When should I come to campus to get the VUMC laptop?

    Pick up days will be scheduled based on phase & course directors’ recommendations. More info to come.
