When to use OneDrive & SharePoint

From VUMC IT:

  • SharePoint is not designed to replace all needs for all workloads.
  • For content that departments are actively referencing or collaborating on, such as Office files like Word Documents, Excel Spreadsheets, and PowerPoint presentations.
    • When sending an email that you’d otherwise attach a file to, attaching the link to the file stored in OneDrive or SharePoint allows everyone to co-author the same document rather than creating different versions.

How Does SharePoint interact with Microsoft Teams?

Teams is a portal to content stored in OneDrive and SharePoint. The actual files themselves are not stored directly in Teams, but are stored in OneDrive and SharePoint, depending on the context.

  • When you share content in a chat, that file is stored in your OneDrive in a folder called “Microsoft Teams Chat Files.”
  • When you share content in a Teams channel, such as a channel conversation or in the channel’s Files tab, that is stored in the SharePoint site that lives behind the Teams.

 

  • When you record a meeting, that recording is saved to the OneDrive of the person who pressed the record button in a folder called “Recordings.”An exception to this is for channel “Meet Now.” Meetings that occur inside of a Teams channel are stored within that channel’s Files tab.
  • When you create meeting notes, those files are saved in the individual’s OneDrive under Microsoft Teams Data\Wiki.
When I set up a new channel in Teams, do I also create a SharePoint site?
  •  No. When setting up a new channel in Teams, a SharePoint site is NOT created.
  • When a Team (which holds one or more channels) is created a SharePoint site is created at the Team level and not at the channel level.

VUMC has stricter permissions when sharing links from OneDrive or Sharepoint. VUMC users cannot copy links to email multiple users. You must type in the email address of the users with whom you wish to share the file.

VU accounts can copy links and email to recipients, but be mindful of your content when you share with “anyone with a link.”
